What are we looking for?

Reporting to the Shared Services Manager, the Payroll Supervisor will be responsible for coordinating the activities of the payroll department to ensure an accurate and on time payroll process. Payroll activities include quarter end and year end reporting, distributing and preparing payments, benefits, taxes and payroll deductions; calculating overtime, shift payments and maintaining payroll records. The Payroll Supervisor is also responsible for coaching and mentoring team members, assigning tasks and checking the work deliverables to ensure the effectiveness of the team's resources and payroll is processed accurately. The Payroll Supervisor serves as the liaison/partner between HR, IT, Accounting, Treasury, Internal/External Audit, Benefits, and third-party vendors regarding any payroll related transactions.

Your tasks and responsibilities...

  • Coordinates and leads the activities of the payroll department this includes accounting, distributing and preparing payments, benefits, taxes and payroll deductions, calculating overtime, shift payments, retroactive payments and maintaining payroll records.
  • Develops procedures related to the preparation, documentation, and disbursement of all payroll checks and payroll taxes.
  • Ensures proper governmental reporting and compliance
  • Oversees any irregular payments including calculations and confirmations of off-cycle payments.
  • Partners with all levels of the organization to discuss payroll matters
  • Coach and mentors payroll staff assigns tasks and holds staff accountable to ensure resources are used effectively.
  • Resolves more complex escalated inquiries from team members
  • Reviews and checks the work of payroll staff to ensure payroll is processed accurately
  • Responsible for quarter and year-end processing and procedures including producing W2s for employees and retirees.
  • Identifies processes that can be streamlined, inefficiencies, cost reductions or system improvements. Lead process and system enhancements/upgrades for the department.
  • Accountable for the financial integrity of the payroll process. Monitors and accounts for inbound and outbound payroll related transactions that impact the general ledger and third-party vendors including direct deposits, taxes and garnishments. Monitors the payroll system to ensure that it is operating properly and the integrity of the data is assured.
  • Leads and performs payroll audits periodically to ensure processes and adherence to policy and procedures.

Who you are...

  • Minimum of 10 years of payroll experience.
  • High School Diploma or GED required.
  • Demonstrated expert ability to administer, configure and serve as a company-wide super user of Kronos 6.3 or V.8 Workforce Central for Timekeeping & Absence Manager modules.
  • Demonstrated expert ability to understand payroll taxes and use third-party software to configure and support the application of taxes appropriately across multiple states and jurisdictions. Experience and knowledge of BSI Payroll Tax is preferred.
  • Demonstrated experience using Lawson Payroll module and Employee Self Service & Manager Self Service activities related to Lawson Payroll processing.
  • Advanced Excel knowledge including conversion mapping, file uploads, development of spreadsheets with Lawson Add-Ins
  • Developed requirements for building and maintaining interfaces between HR and Payroll systems
  • Experience managing a virtual staff, delegating work efficiently across the department
  • Experience managing a high degree of change in a fast-paced and complex environment.
  • Experience managing multiple technical and strategic projects for the department simultaneously.
  • Experience leading, directing, evaluating and developing a team.
  • Experience developing ad hoc financial and operational reporting and provide analytics and key business metrics.
  • Critical thinker with excellent communication skills, strong interpersonal/emotional intelligence and leadership skills
